Privacy Notice for the Federation of Finnish Learned Societies’ Event Feedback Survey
This privacy notice has been prepared in accordance with the EU General Data Protection Regulation (EU 679/2016, 12–22) and concerns event feedback collected by the Federation of Finnish Learned Societies. Issued on August 20, 2025.

4. Legal basis and purpose for the processing of personal data
The legal basis for processing personal data is the data subject’s consent. The purpose of processing personal data is to respond to the feedback provided, should the respondent request it.
5. Processed data
The data register contains information related to the feedback submitted. In cases where a respondent has requested a response and provided contact details for this purpose, the register contains their email address.
6. Data sources
The data in the data register is received from the data subjects themselves when they answer a questionnaire.
7. Disclosure and transfer of data and transfer to areas outside the EU or the EEA
If the event had co-organisers from outside of the Federation of Finnish Learned Societies and the feedback concerns them as well, the feedback may be shared anonymously with the other organisers. If responding to the feedback requires action by another organiser, the respondent’s email address (when provided for a reply) may also be shared with them.
The information stored in the data register will not be transferred to other services, nor will it be transferred outside the EU or the EEA by the controller.
8. Data protection and storage period
Only the employees who have the right to process personal data have access to the systems containing personal data. The systems are username and password protected. Personal data is only stored for as long as necessary for its purpose, i.e., until the matter has been fully processed with the respondent. The data controller rectifies, deletes or completes any personal data in the data file which is inaccurate, unnecessary, incomplete or obsolete considering the purpose of the processing of the data, either on their own initiative or at the request of the data subject.
9. Rights of the data subject
The data subject has the right to review their data in the personal data register and to request the correction or removal of inaccurate data, provided there are legal grounds for it. The data subject also has the right to withdraw or change their consent. All contact and requests related to this notice must be submitted in writing or personally to the contact person indicated in Item 2 of this notice.
10. Changes to the privacy notice
If the contents of this notice change, the changes will be visible and dated in the notice. If the changes are significant, information about them will be provided on the data controller’s website.
